Every manufacturer on earth runs the same loop, whether or not anyone has named it. A lead comes in. It becomes a quote. The quote becomes an order. The order becomes a production batch. The batch becomes a shipment. The shipment becomes cash. Six steps, in that order, for every product you have ever sold.
Most plants run this loop across five or six unconnected tools: a CRM or a spreadsheet for leads, Word or Excel for quotes, an accounting package for orders and invoices, a whiteboard or a planner for production, a courier portal or a clipboard for dispatch. Each hand-off between them is a person re-typing the same product, quantity and price into a different screen. Each re-typing is a chance to get it wrong, and a reason nobody trusts the numbers when they finally reach the boss.
Six steps, three feeders
The loop itself is simple. What makes it feel complicated is that three other things feed it, and they are easy to confuse with steps.
- Products define what you sell and what it is made of: the formula, the pack sizes, the grades.
- Inventory tells you what you have right now, by lot if you track lots.
- Procurement brings in what you do not have.
None of these is a stage a deal passes through. They are the stock the loop draws on. A quote reads from Products for its price and bill of quantities. A production batch reads from Inventory to see if the materials exist and from Procurement if they do not. Keeping that distinction clear is the single most useful mental model when you evaluate software, or when you draw your own process on a whiteboard.
What "one record" means in practice
The rule Aourix is built around is one record, many stages. You never create a separate order, then a separate production job, then a separate invoice for the same sale. You move one thing forward.
Concretely, in a workspace that works this way:
- A deal opens in Sales as a lead, with a company, a contact and an owner.
- The quote is built on that same deal: product, bill of quantities, price, terms, and the document the customer signs.
- Converting the quote turns the same record into a sales order. Nothing is re-typed; the signed contract becomes the snapshot every later step reads from.
- The order appears in Production planning as a request for materials and a batch. Same record, one step further along.
- When the batch ships, dispatch produces the packing list and gate pass from the contract's pack forms, and the loop closes on the dashboard: dispatched this week, won revenue, deal cycle.
The number leadership actually cares about, how fast a lead becomes cash, is only measurable when the whole chain is one record. If the order lives in a different system from the quote, you can compute it once a quarter by hand. If it is one record, it is on the dashboard every morning.
Why re-keying is the real cost
When people list the cost of running a factory on disconnected tools, they usually count licence fees and hours spent typing. The larger cost is reconciliation: the weekly ritual of working out why the planner's number, the sales sheet and the accounts do not agree. Reconciliation exists because the same fact was written down more than once. Remove the second copy and the ritual disappears with it.
That is also why "integrations" between separate tools rarely fix the problem. An integration copies data from one place to another. It moves the reconciliation from a person to a script, but the two copies still drift the moment someone edits one of them by hand.
Where an AI assistant fits
Once the loop is one record, an assistant can watch all of it. Those questions are unanswerable when the stages live in different systems, and trivial when they share one record.

Before you change any software, draw the six steps on a page and, under each one, write the tool your team uses today and the fields someone re-types to get there. Most plants find two or three hand-offs where the same product and quantity are keyed three times. Those are the places where errors are born, and the first ones to close.
